Academic Hire Process for Adjunct Faculty

  • To submit applications through an external posting through eRecruit, the department submits an academic job posting requisition form to employment@umsl.edu. (Although not required, an eRecruit posting for part-time faculty is recommended, as it makes it easier to filter for work authorization, rehire eligibility, etc.)
  • Hiring manager (typically, the chair or program director) reviews submissions from interested candidates, conducts interviews, solicits reference checks (option for par-time hires), and selects finalist.
  • Hiring manager makes verbal offer.
  • If verbal offer is accepted, department's business support staff drafts and sends offer letter based upon template provided by Academic Affairs.
  • If the candidate accepts the offer, the department sends intake form for HR processing to Shared Services at stripessharedservices@umsystem.edu

If the adjunct faculty is already a benefit-eligible/full-time faculty member, include the Request for Extra Compensation form.

  • Shared Services directs UMSL HR Employment to order a criminal background check (CBC) on any external candidate.
  • UMSL HR Employment orders the CBC and education verification.
  • New faculty member submits the CBC information form emailed to them from the vendor (First Advantage).
  • New faculty member submits the DEMODATA form with personal information (if the job was posted in eRecruit).
  • New faculty member submits official or unofficial transcripts to the supervisor listed in their offer letter.
  • Shared Services monitors CBC results and, when passed, initiates the hire ePAF (Electronic Personnel Action Form) is created.
  • Provisioning occurs and an UMSL Single Sign-on ID (SSO ID) is generated within 24-48 hours of ePAF submission.
  • The new faculty member receives preboarding instructions, which contain the required online preboarding forms (personal information, direct deposit, federal and state tax information, and I-9 Section 1).
  • Before the employee’s first day of work they must provide proof of identity and eligibility to be employed in the United States as part of I-9 Section 2. At UMSL, our primary way of completing the I-9 Section 2 is online. Additional instructions will be emailed to the employee. Failure to provide these documents will delay an employee’s start date.
  • Once I-9 Section 2 is complete, Shared Services will finalize the hiring process and the appointment will be active in PeopleSoft.
  • The new faculty member completes FERPA training in Canvas after signing in with UMSL SSO ID. Training is assigned by the registrar's office (registration@umsl.edu)
  • Department assigns new faculty member to classes in CLSS. Provided FERPA training has been completed by the faculty member, access is granted by UM Academic Technology within 48 hours. 
  • Supervisor submits the faculty member's transcript and the Faculty Qualifications Assurance Form to the eHRFile uploader in their unit, to be filed in the HLC folder.
