These protocols are established to ensure that Curators of the University, Governmental Officials, and other notable guests receive the appropriate respect and reception on campus. Proper handling of these visits upholds and promotes the reputation and brand of the University of Missouri–St. Louis.
Notification Requirement
Whenever a unit or individual becomes aware that a VIP (Curator, State/National/International Official, or other Substantial Visitor) will visit campus—either in person or virtually—they must immediately email the event and VIP details to:

Basic Responsibilities
After notification, Executive Events will convene a meeting with all listed parties to plan and coordinate the visit. These individuals will also brief the Chancellor, Provost, and Chancellor’s Cabinet on the planned efforts and protocol.
Departmental Responsibilities
Executive Events- Oversee and coordinate all planning.
- Ensure campus participation, including event oversight as appropriate.
- Provide banners, table coverings, and UMSL-branded materials.
- Notify and determine proper involvement of the Chancellor or designee.
- Support the Chancellor’s participation (speaking materials, remarks, etc.).
- Plan advance security and provide day-of-event security.
- Arrange parking and transportation, as needed.
- Coordinate any necessary internal/external facility upgrades.
- Provide event-day custodial support.
- Manage public relations before, during, and after the event.
- Handle press advisories/releases, UMSL Daily updates, and event photography.
- Facilitate communication with UM System Governmental Relations.
- Advise on involvement of campus leadership; suggest materials or remarks as needed.
Importance of Adherence
Failure to follow these protocols can:
- Undermine the status and experience of VIP visitors.
- Damage UMSL’s reputation and relationship-building opportunities.
All units and individuals are expected to comply fully to preserve the University’s standing and to maximize the goodwill associated with these important visits.
