Download Grade Book

Click on the "Gradebook Download Download Grades" link to download a comma-delimited (.csv) or a tab- delimited (.xls) grade book file to your local computer. Comma-delimited or tab-delimited files can be opened in Excel, or another spreadsheet program. This allows you to modify grade entries and to add new items (see Uploading Grade Book Items), as well as format your grade book for printing.

Please note: Instructors are advised to download and save copies of their class grade books on a regular basis. It is especially critical to download a copy of grade books after final grades have been entered. Grade books are not saved after the end of a semester--notification is sent via email informing instructors of the date when students will be "unenrolled" from a current semester's class site. When students are unenrolled, grade book entries are deleted.

When you click on the "Gradebook Download Download Grades" link" the next screen allows you to select the delimiter file type of your choice, click submit. Click on the "Download" button on the screen that follows to download the file to your local computer. Your grade book is saved to a file named "gb_export.csv" or gb_export.xls depending on the delimiter type chosen. You should be prompted to select a location on your personal computer to store the file, and you can also edit the file name before you complete the download. When downloading the grade book, you may want to save it to a more permanent location, rather than the default location. This will help you locate the grade book more easily once download is complete.

To open your saved file:

  1. Locate the directory where the file is saved and double-click the filename, or
  2. Open Microsoft Excel or a similar program, and go to the File menu. Select Open. On a Macintosh, this may be the only way to open the file, as the system may not automatically associate the saved file with Excel.
