Upgrades to Faculty/Staff email

UMSL has joined the other UM campuses in migrating faculty/staff mailboxes to a Microsoft Exchange 2010 solution. As part of UM Shared Services Initiative, this solution has been collaboratively designed and built with high-availability in mind, with the primary systems on the Columbia campus and a failover site on the S&T (Rolla) campus.

The two tutorials below provide information on the records retention folders that will be available in your email around the beginning of 2012.

New & Improved Features of Exchange 2010 include:

  • 15GB mail quotas, approximately 30x the current quota.
  • Improved Outlook Web experience provides convenient web-based access to mail, with more features and better compatibility with browsers other than Internet Explorer. NOTE: Please prefix your SSO ID with “UMSL-USERS\” (i.e. UMSL-USERS\SSOID) when logging in through the web.
  • Improved ability to manage emails subject to retention policies.
  • Reduced need to use PST files for archiving email. By moving the contents of your PSTs back into your mailbox, you can browse or search for those items through OWA.
  • Enhanced Out of Office Assistant. You can now create different out-of-office messages for external users than you do for an internal UMSL user who emails you while you are out of the office.
  • Conversation view. By grouping email messages from a single conversation thread together, the new conversation view enables your users to quickly identify the most recent messages and the chain of responses. Conversation view is always preserved, even if individual e-mail messages are located in different folders in the mailbox. By treating an entire group of messages as a single conversation, the messages can be managed, ignored, moved, and deleted as a whole. New messages that are part of a conversation that a user has chosen to ignore are sent straight to the deleted items folder.

General Configuration Details

On-campus Windows clients: for when auto-configuration does not work

Outlook 2007
Outlook 2010

Outlook on campus desktops will typically auto-configure the correct settings when Outlook is restarted after mailbox migration.

Off-campus Windows clients

Outlook 2007/2010 with OutlookAnywhere

OutlookAnywhere, particularly for laptops taken on- and off-campus, allows a connection from off-campus without VPN

Mac Clients

Mac Mail
Entourage 2008

Mac clients are configured identically, whether on- or off-campus.

Outlook Web App (formerly Outlook Web Access)

OWA can be accessed at http://owa.umsl.edu

Smartphones and other mobile devices with Exchange Server/ActiveSync support

Devices with native support for Exchange Server or ActiveSync should be reconfigured to use owa.umsl.edu (Some devices may require you to delete the existing profile and add a new one, rather than changing the existing one)

POP/IMAP clients

IMAP/POP clients are now required to use encrypted protocols

IMAP Server Name: imap.umsl.edu
Port: 993 (SSL required)

POP3 Server Name: pop.umsl.edu
Port: 995 (SSL required)

SMTP Server Name: smtp.umsl.edu
Port: 587 (Authentication required, TLS required)

Other Notes

  • At some later date yet-to-be-determined, the Records Management Office in Columbia will work with the email administrators to add “Managed Folders” into all users’ mailboxes, in order to facilitate historical records retention. Additional information regarding this topic will be communicated once more details are known
  • The Technology Support Center will continue to support Outlook and a number of other popular desktop and mobile clients. Outlook 2011 will be offered for Mac users.

Frequently-Asked Questions

Problem: Outlook shows "Disconnected" or "Not Connected"
Problem: Outlook repeatedly prompts for authentication
Problem: Outlook shows "Connection to Exchange has been lost" or "The Microsoft Exchange administrator has made a change that requires you to quit and restart Outlook"

Solution: This message usually appears if another program on your system was connected to the existing email server while your mailbox was being moved. Please log off your system and log back on.

Problem: I can't see free/busy data in Outlook when scheduling a meeting in Outlook
Problem: I can't view or set my Out of Office message in Outlook

Solution: Outlook is unable to determine the location of Exchange's Availability service. This often occurs on systems which are not joined to the UMSL-USERS domain. This issue will be resolved once all mailboxes have been moved.

Browser Support

All Outlook Web App clients are running a supported Web browser. To use the complete set of features available in Outlook Web App, clients can use the following browsers on a computer running Windows XP, Windows 2003, Windows Vista, or Windows 7:

  • Internet Explorer 7 and later versions.
  • Firefox 3.0.1 and later versions.
  • Chrome 3.0.195.27 and later versions.

On a computer running Max OS X, clients can use:

  • Safari 3.1 and later versions.
  • Firefox 3.0.1 and later versions.

On a computer running Linux, clients can use:

  • Firefox 3.0.1 and later versions.

Clients using a Web browser that doesn't support the full feature set will automatically be directed to the light version of Outlook Web App. The light version of Outlook Web App is optimized for accessibility, such as for users who are blind or have low vision. The light version provides fewer features and is faster for some operations. Clients may want to use the light version if they are on a slow connection or using a computer with unusually strict browser security settings. The light version can be used with almost any browser and has the same features across all browsers.
