Faculty Position Numbers
When a position is created, a position number is assigned to that position and stays with it. The number is not related to the person in that position - it is not an EmpID, a Job Code, or a Job ID. (Position numbers can be found in PeopleSoft under Job Data. If you need assistance locating it, please check with your department administrator.)
Effective September 1, 2009, please take the following steps for all academic employees hired or rehired into different positions (including concurrent appointments) that do not already have position numbers except for those noted below.
- Complete the request form no later than the first of the month in which the faculty is assigned. We need all the information requested, so please be sure to complete the form in full to avoid any delay.
- HR will assign a position number within approximately 24-48 hours and reply with a confirmation e-mail including the newly assigned position number.
- When completing the new hire PAF, please enter the assigned position number in the field labeled "Position Number" on the faculty's PAF and send it (with all other new hire faculty paperwork) to HR.
- If HR receives a PAF with the "Position Number" field blank because the department did not complete the request form, the PAF will be returned so the department can complete the form to obtain a position number. Since this could delay payment, please make every effort to follow the process outlined here.
- When faculty (regular or adjunct) are hired to fill a vacated faculty opening, departments must reuse the position number previously assigned to the exiting incumbent. This is a replacement hire as opposed to the addition of a new headcount.
EXCEPTIONS
The titles below will NOT utilize the position number process, but will be paid through another Time & Labor function. (More details will follow as we approach implementation of Time & Labor.) Please do NOT submit a form for the following:
- Courtesy/Volunteer Appointments; Temporary, Student, and Graduate Titles
- 9430 - Tutor
- 4660 - Grader
- 7660 - Research Fellow
- 7065 - Preceptor
- 5200 - Intern
- 6373 - Mentor
