Student Nomination & Placement Process for MAUI Partners

The Student Nomination & Placement Process for Exchange
1. Recruit, advise, and select students to study at one of the participating Utrecht Network institutions. Your students will use your own application form - there is not a special application form for the MAUI-Utrecht Exchange Program. Information about the participating Utrecht universities can be found on the Institution Information Sheets.
2. Rank and Nominate your students on the Student Nomination Form and email (prefered) or fax it to the MAUI coordinator before the deadline March 1, 2012. Students should be ranked with 1 being the highest qualified/nominated students of all of your nominees (ie. 1 out of 6, 2 out of 6, and so on..). The students who are ranked higher on the list will receive higher priority for their placement choice. Please add comments if necessary, ie. student's last semester to study abroad, wants to do special research project with particular faculty member at this institution, etc.
*Please Note: There are very few spaces at some schools, so please emphasize to your students the importance of being open to a second or third choice. Also, nominations may be accepted after the March deadline, but the more competitive spots (Cork, Malta, Lund, Utrecht, etc.) are usually filled in the initial round of placements.
3. Initial placements are made usually within 1 week of deadline. Next, the participating institutions are sent a list of the placed students to briefly review, and it's then sent to the partner host institutions to review and give provisional admission.
4. Host Applications & Procedures: After the host institutions grant provisional admission, the sending institution should contact the host institution to obtain necessary host application forms and procedures. Contact information for each university is found on the Institution Information Sheets. Students complete the necessary application forms for the host institution. The student is not finally placed until the host institution has admitted the student.
5. Direct Correspondence: *Please Note: From this point, the sending and host institution correspond directly regarding the student(s). If there are any changes to placements, please notify the MAUI and Utrecht Network coordinators so the placement charts can be updated. If there are still spots available at an institution, you may still try to place a student there.
6. Applications After March Deadline: If you have a student wanting to study abroad during the spring semester that has missed the March placement deadline:

- First, check the Student Exchange Placement Charts to see if the university still has spots available.
- If they do, next, send an email to the host university coordinator of incoming students to see if they would accept your student. (Please copy the MAUI coordinator (Liz Shabani) and Utrecht Network coordinator (Anne Gemminger) on your email). Be sure to include in your email the student’s name, major, area of study while abroad, Undergraduate/Graduate level, email address, and term to study abroad.
- Lastly, inform BOTH the MAUI and Utrecht Network coordinators of the final result (whether the student was accepted/declined/withdrew/ etc.) to update the placement chart and to avoid other universities requesting spots that are unavailable.

Coordinators generally provide applications upon
request to students, but it is extremely helpful if you can provide course bulletins
and other information about your office and institution to the Utrecht
Network members on an annual basis in your Institution Information Sheets.

If there are any changes to student placements at any time, (sending or receiving of students) please
notify the MAUI and Utrecht Network coordinators so the placement charts can
be updated.
